Property Intellect is widely used in the residential lettings markets to help landlords, investors and managing agents deal with the day-to-day aspects of looking after property. This covers three principal areas: Accounts, Tenancy Lifecycle and Storing Data. Launched in 2003, our products are used by over 5000 people in the UK and overseas so we have considerable experience in the specialist property management field.

Guiding Principals, or: Why We Are Different from Other Vendors
Let’s go back to basics for a moment. All design is a matter of trade-off, so whilst we built this version over the last 3 years we talked to a large number of existing users and arrived at a common list of priorities:
- Stability and data integrity
- Accounting flexibility
- Flexibility of viewing manipulating data
- Interface usability
You'll notice we've prioritised the robustness of the data. Basically this should mean that the program doesn't let the data get into a state that it shouldn't be in. That all helps keep things ticking over without endless support enquiries and prevents you tearing your hair out.
So what can our system do for you?
Quite a lot, actually. In no particular order...
- Dual entry accounting: with supplier and client accounts - although it’s dressed a little differently to other accounts packages. Whilst those familiar with accounts will recognise a great deal but the accounts have a heavy slant towards property management for obvious reasons. We also stick to non-accounting terms wherever possible so non-accountants will find the going much easier than other jargon-laden packages.
- Businesses, Branches and Clients: A business represents a legal entity in one currency whilst the Client item represents the owner of one or more properties. All entities have their own account and you can create more to represent your own bank accounts. Reconciliation against your own account becomes simple.
- Multi-currency support: the system supports multiple currencies
- Dynamic synchronisation in multiple user (networked) systems: multi-user access like you've never seen before - if one person changes something that affects part of what you are looking at (e.g. someone else adds a new contact and your form has a contact drop down list in it) that part automatically gets updated without you even noticing. It means that manual refreshes of screens etc. are a thing of the past - the data you are looking at stays current, no matter what you or others do.
- Logon accounts and permissions: A complete permission system runs throughout the program. You log on to the system and the account you use determines what you can see and change. Change permissions by property, task, account for groups or just a single user. Users can log into any business they have permissions for.
- Roaming profiles: in multi-users installations you can log onto any workstation and all your program views and settings that you so carefully set up will follow you! This permits true 'hot desking' without worrying about the complexity and cost of using Windows roaming profiles.
- Groups: build groups of contacts, properties, users etc. Items can be in more than one group at a time and you can build as many groups as you like.
- Themed interface ('Skins')*: the interface now supports 'skinning' (i.e. you can choose from a number of different colour schemes and looks)
- View and edit multiple items: each item is opened in its own window (similar to Outlook) so you can open and work on as many properties, contacts etc as you like. This increases productivity by allowing you to move between records in a more natural manner.
- Print, search and export from grids: virtually all grids that display data can export directly to Word or Excel with a single click. They can also print and search. You’ll wonder how you ever did without it.
- Group, sort and arrange data on grids however you like: flexibility is the word: arrange your data any way you see fit. Work by area? No problem - group your data by category, town, postcode...anything you like. Or properties by client, then container block. Simply drag and drop whichever fields you want to group by and the data rearranges instantaneously in front of your eyes. Sort on multiple columns. Choose which columns you want to see on the grid and in what order. Next time you start the program all your changes are still there (even if you moved to another workstation!)
- Active reports: flexible and accurate reporting comes straight out the box - for example, how about being able to drill down on the Tenant Statement so you can see and open up individual transactions?
- Automation of background tasks: once you've told the system about the property and contract it will do the rest - just tell it when you physically get the payments and forget about everything else - the account is maintained automatically. See all account balances at a glance or produce full tenant statements for any date range. There is no duplication in setting up data.
- Built-in support for HMOs: managing blocks of flats alongside standalone units becomes...easy with the ability to work using a natural block and unit grouping system. You can use this for blocks of flats or simply rooms in a single HMO dwelling.

Our entry level system that defies it ranking in our line-up by offering a full management system: no cut-down systems here. Manage up to 20 properties split between 2 owners if required. Full accounting is included, too so there’s no excuse for getting your figures wrong on your tax return!

- Full permission system so you can control who sees what data - right down to individual items. Set permissions for whole groups of employees on just about every aspect of the program.
- An unlimited number of properties can be entered onto the system giving you a system that can grow with your business. The system comes complete with a 500 property licence and you can purchase more when your business grows and you need the extra headroom.
- Supports an unlimited number of users. Again, user licences can be added as required.
